Regarding Hiring A Management Company
 
Q – Why did the Board decide to hire a management company?
A – The time required to effectively handle the day-to-day HOA operations has steadily increased to the point that Board member jobs and family life are being negatively impacted. A change was therefore necessary, and we felt hiring a management company was the only option.
 
Q – Does the Board have the authority to hire a management company?
A – Yes. Per the By-Laws (Exhibit D), Article III, Section 19 of the Covenants…The Board of Directors may employ for the Association a professional management agent or agents at a compensation established by the Board of Directors to perform such duties and services as the Board of Directors shall authorize.
 
Q – Will the Board still be involved?
A – Yes. The Board and ACC will continue to make decisions as necessary. The management company will take over the day-to-day operations.
 
Q – How was the management company selected?
A – Several companies were looked at and evaluated based on cost, experience, capabilities, location and other factors. We chose Elite Housing Management because they stood out in all categories.
 
Q – What is the cost and what does it include?
A – They will charge our HOA $6 per door per month. At 228 homes, that comes to $1,368 per month, or $16,416 annually. For that, they will handle all communications with residents, monitor the neighborhood for Covenant violations, handle architecture requests, handle all vendors, manage the accounting (receivables and payables), handle clubhouse reservations and control the clubhouse access system (to be installed).
 
Q – Are there any cost advantages to going with a management company?
A – Yes, in some cases. Because Elite manages other HOAs and has large contracts with various vendors, we are able to share in these agreements and sometimes (but not always) reduce our costs. Also, where we might pay extra to have a vendor come out for a sprinkler repair, we can save money by using one of their vendors – saving time and money.
 
Q – When will the management company begin handling our community?
A – March 1, 2021. At that time, all communication links on the website will be changed to Elite. Any emails or other communications sent directly to anyone on the Board will be redirected to Elite, with any necessary responses coming from them.
 
Q – After the management company starts, who should a resident contact if there is a question, comment or complaint?
A – All resident communications will go through Elite. They will provide the information they have received and the Board will make any necessary decisions.
